User Management Guide

TL;DR

User management allows you to control who has access to your account and what they can do within the system. Depending on your organizational structure, you may be managing users at the parent organization level, at individual child organization levels, or both. This guide covers how to add, edit, and remove users across your account hierarchy.

Accessing User Management

To manage users in your account, follow these steps:

  1. Look for the Organization link in the top right navigation menu

  2. Click on Organization to access the user management interface

Adding a New Team Member

Single User Addition

To add one team member at a time:

  1. Click the "Add Member" button

  2. You will see two options:

    • Send an invite — sends an invitation email to the person's email address

    • Add directly — adds the user without sending an invite email

When to use "Add directly": This option is useful when adding team members who do not have access to the email address you are specifying for their account, or when you prefer to notify them through another method.

Bulk User Addition

To add multiple team members at once:

  1. Click the "Upload Members" button

  2. Use the provided CSV template as your format guide

  3. Populate the CSV file with your team members' information

  4. Upload the file to add all users in one action

This bulk upload feature is ideal when onboarding multiple team members simultaneously or migrating users from another system.

Editing and Removing Users

Once users are added to your account, you can edit their information or remove them as needed through the Organization interface. Access the user list and select the user you wish to modify or delete.

User Management at Different Organizational Levels

Parent Organization Level

At the parent organization level, you manage users who need access across multiple child organizations or who oversee the entire account structure. Users added at this level typically have broader visibility and permissions.

Child Organization Level

At individual child organization levels, you manage users who work specifically within that organization's operations. These users have access limited to that particular child organization's data and functions.

Note: The current system requires switching between individual organizations to manage users at the child level. Parent-level user management across all child organizations simultaneously is not currently available, though improvements to organizational management are being developed.

Frequently Asked Questions

Q: What's the difference between "Add directly" and "Send an invite"?

A: "Send an invite" emails an invitation to the specified email address, which the person must accept to activate their account. "Add directly" creates the account without sending an email, useful when the team member doesn't use the email address you're assigning to them.

Q: Can I add multiple users at once?

A: Yes. Use the "Upload Members" button and upload a CSV file formatted according to the provided template. This is much faster than adding users one at a time.

Q: Can I manage all users across my child organizations from one parent-level view?

A: Parent-level user management across multiple child organizations is not currently available. You will need to switch between individual child organizations to manage their users. However, improvements to organizational management are in development.

Q: How do I remove a user from my account?

A: Access the Organization menu, locate the user in your user list, and select the option to remove or delete them.

Q: Can I edit a user's information after they've been added?

A: Yes. Go to the Organization menu, find the user you want to edit, and update their information as needed.
